Conference Events Co-ordinator
We are currently looking for an experienced events coordinator to join the team at an exclusive and luxurious country house hotel near Bath.
Key Responsibilities:
To increase levels of interest, conversions, enquires, and confirmations for all Wedding and subsidiary events, whilst maintaining a professional, caring, efficient, personal and outstanding service
Develop and maintain a first class level of hospitality for the Hotel and Club House guests and to exceed their expectations both before, during and after the event
Work closely and efficiently with the Sales Manager
To ensure the Delphi computer system is used to the company standard
Principle Accountabilities:
Anticipate guest needs where possible to enhance quality of service and positively promote sales to maximise revenue
Operate and maintain an effective chase and follow up system for Weddings to obtain maximum occupancy and rate during peaks and troughs
Assist the Events department to maximise bedroom occupancy by effectively chasing, confirming, contracting business and proactively marketing trough periods and top up business
Consistently achieve objectives laid out in your departmental activity plan
Train and develop all areas of the Front of House to assist in the show rounds and profile of the Hotel and Golf Club
Liaison with contacts during the wedding and private events, and involve key staff leading up to the event
Refer any events unable to accommodate to our sister properties and ensure referral procedure is adhered to
Maximise our unique profile at all times as one destination
Seamless correspondence to the Wedding party throughout the briefings
To comply with any Health and Safety training ensuring that all regulations are upheld
Pro-actively follow up all relevant sales leads within the agreed time scale
Marketing:
To generate a marketing schedule that promotes the Hotel and Golf Club as a leading venue for Wedding Receptions and Ceremonies
To help coordinate and develop the Weddings market as a quantifiable business segment within the sales and marketing plan
Consistently drive with a strategy that achieves results all year round in all market segments
To continually find new innovative ideas from other sources
Visual displays in the Hotel to be maintained and updated accordingly
Specific Projects:
Build and develop relationships with venues who do not have bedrooms for referrals
Continually develop and update the Website as a selling tool
Agree and achieve a three monthly activity plan drawn up which is specific, measurable, achievable, realistic and time bound
Develop seasonal Weddings throughout the year highlighting in particular during trough periods
Create a seamless booking system for accommodation and control the rooms booked
Create and maintain database for all previous weddings and private dining occasions for future events
Create a seamless environment as one destination for both properties
Produce a structured marketing plan the hotel and golf club. Include SWOT analysis for competitors with rate comparison, cross selling to other properties, up selling and acquiring new business
Structured weekly checks on all group reservations through SMS for accuracy against Delphi. Operate and maintain an effective chase system for events to obtain maximum occupancy, yield management and rate during peaks and troughs.
